Where you stand

Good work alone does not make an organisation visible.

Professional quality is created in the practice, in the laboratory and at the treatment chair. Whether it comes across online is decided elsewhere – and there is usually simply no time for that in day-to-day operations.

  • 01

The online presence lags behind reality

The website and the Google Business Profile do not show the standard of work the organisation actually delivers. Anyone comparing providers sees an outdated picture rather than the expertise that exists today.

  • 02

The offering is hard to grasp

Patients and referring professionals do not see at a glance which areas of focus, procedures and capacity are available.

  • 03

Enquiries cannot be traced to a source

Calls, forms and recommendations arrive together, with no way of seeing what prompted them. That leaves no basis for any further decision.

  • 04

    Marketing remains a side task

It falls to your team between two appointments, happens irregularly and still takes time that is missing from day-to-day operations.

Impact

We improve the moments that shape trust and demand.

Only a few minutes pass between the first search term and the first enquiry. Those minutes decide whether an organisation is considered.

  • Being found

Findable locally and by specialism – where people search, and with the terms your target audience actually uses.

  • Building trust

A current, substantiated picture of your specialisms, your team, your services and how you work. Making expertise visible without overstating it.

  • Making contact simple

One clear next step for patients, referring practices and partners – on every device, without detours and without guesswork.

  • Staying visible

Content, directory listings, reviews and ongoing optimisation carry on, even when the working day is full.

Who it is for

One system, adapted to different healthcare providers.

The foundations are the same. The target audience, the channels and the tone are not – a laboratory addresses referring practices, a practice addresses its patients.

  • Practices and clinics

The right patients for the services and the appointment slots you actually want to keep full. Visibility in the local area, service pages that are easy to understand and a simple route to an appointment request.

  • Laboratories and B2B healthcare partners

Presenting specialisations, procedures and capacity so that referring practices and professional partners can judge accurately what working together would involve. Here visibility is aimed at a professional audience, not the general public.

  • Other outpatient healthcare providers

Physiotherapy and therapy practices, specialist medical practices, outpatient centres and diagnostic laboratories: a solid digital foundation that supports later growth rather than holding it back.

Services

The building blocks of a credible digital presence.

Nine building blocks. Your starting position decides which of them are used – not a package catalogue.

  • Positioning and growth plan

Clarity about which target audience, which services and which capacity matter most – before anything is implemented. Show details Hide details
    • Sharpening the target audiences: patients, referring practices or professional partners
    • Determining the priority services and the capacity actually available
    • Defining the kind of enquiries you want, not only the number
    • Translating goals into a workable 90-day plan
  • Website and conversion

A website that loads quickly on a phone, explains things understandably and makes the next step easy. Show details Hide details
    • Rebuilding the website or making targeted improvements
    • Clear service pages and unambiguous calls to action
    • Mobile usability, loading time and enquiry flow
    • Managed hosting, domain and DNS coordination, SSL, backups, security updates
    • Uptime monitoring and content changes within the agreed scope

You do not need an IT person of your own to work with us. We can take on the technical operation.

  • Local visibility and SEO

Being findable in your region and for the right services – with correct, consistent information everywhere people search. Show details Hide details
    • Maintaining the Google Business Profile and relevant directory listings
    • Building local and service-related search content
    • Technical SEO, structured data and a page structure that is easy to follow
    • Preparing your information for classic search and for answer and recommendation services
    • Ongoing improvement rather than one-off optimisation

Inclusion, mention or placement in a third-party system cannot be promised – by anyone.

  • Content and design

Content and design that show professional competence without overstating it – and that are in your hands before publication. Show details Hide details
    • Pages, posts, explanations of services and visual elements in keeping with your brand
    • Your approval before every publication
    • Original design work, your own material, code-based visuals or legally cleared free content

We do not invent clinicians, premises, procedures or treatment outcomes. There are no unexpected licence costs for images, fonts, templates or extensions.

    • Strategy, profile setup or optimisation for Instagram, Facebook, TikTok and Snapchat
    • Editorial planning and production of the content
    • Formats suited to each channel for Generation Z and the generations after it
    • Communication to patients as well as to referring practices and professional partners

We only recommend channels that suit the organisation, the target audience, the service and the capacity – not all four channels for everyone. We do not promise reach, follower counts or viral spread.

  • Reputation and trust signals

A reliable impression across every source: current information, genuine feedback, no contradictions. Show details Hide details
    • A process for requesting reviews regularly and in a permitted way
    • Correct information about your team, qualifications and services
    • Testimonials only with consent and evidence

Paid reach once the foundations hold – and on the channel where the audience you want is genuinely reachable. Show details Hide details
    • Search campaigns or other suitable channels, once the basics are in place
    • Choice of channel depending on whether patients, referring practices or professional partners are the audience
    • Ongoing management, evaluation and adjustment

The advertising budget is not included in the package price and is agreed separately.

  • Measurement and monthly report

A short report that says what happened, what it means and what comes next. Show details Hide details
    • Qualified enquiries, appointment bookings, local visibility and conversion signals
    • A short interpretation rather than a collection of metrics
    • Specific next steps, with reasons
  • Photo and video production

Your own images rather than interchangeable stock – as a deliberately chosen additional service, not a requirement. Show details Hide details
    • Planning, shot list, on-site shoots, short video formats
    • Editing and crops for the website and social channels
    • A quotation and your approval before any shoot is scheduled
    • The necessary consents and releases for premises, your staff, patients and models before publication

A standard package can be delivered without a photo shoot, without purchased images and without paid fonts.

Changing search habits

Being found today means more than appearing on Google.

Google and map services remain important. They have long since stopped being the only way people find and judge a provider.

  • Search and maps

The classic search for location, service and opening hours. Still the largest single channel – and the foundation that has to be right first.

  • Social platforms

Instagram, TikTok, Snapchat and Facebook groups increasingly serve as a search box and as a test of credibility: who works there, how is communication handled, does it look reputable?

  • Answer and recommendation services

Services such as ChatGPT summarise publicly available information and answer questions directly. An organisation whose information is clear, current and consistent wherever it can be found is more likely to be represented correctly there.

Generation Z and the generations that follow

Younger audiences search differently, check differently and decide differently. We have specialised in guiding healthcare organisations through exactly that shift: language, formats and channels that reach them, without giving up the professional tone of a healthcare business. This specialisation is about understanding the audience and choosing the channels – it is not a promise about any particular number of young patients or followers.

Not every platform, but the right ones

The aim is not to be present everywhere. The aim is for your organisation to be clear and credible where the people who matter to you actually look.

What we do not promise

  • No one can buy, control or guarantee a recommendation, a mention or a placement in ChatGPT, on Google or on a social platform – and neither can we.
  • We work to make the publicly available information about your organisation clear, current and consistent. What third parties make of it is for third parties to decide.

Channels

The right channels rather than all channels.

We recommend a channel only once it suits the target audience, the service and the capacity of your team. Anything else creates effort without effect.

  • Instagram

Practices with a visible team and services that need explaining

Suited to making processes, premises and people tangible, and to answering recurring questions in advance.

  • Facebook

    Local reach and older audiences

Still relevant for regional recognition, groups and recommendations in the local area.

  • TikTok

    Younger audiences, short explanatory formats

Works with factual, explanatory formats. It calls for regularity and a tone that stays professional.

  • Snapchat

    Very young local audiences

Worth it only if the audience is genuinely reachable there and there is capacity to look after it.

None of these recommendations is a promise about reach, follower counts or enquiries.

Data boundary

Marketing without access to patient data.

This boundary is not a statement of intent but the way the offering is built: our services do not require patient data – so we do not ask for it.

What we do process

When you contact us, we process your business contact details – name, organisation, email address and your message. That is ordinary business correspondence and is described in the Privacy Policy. The statement “we do not process any personal data at all” would simply be untrue, so we do not make it.

If an engagement would touch the boundary

If an organisation asks for an implementation in which patient data would arise, we treat that as outside the scope of services. We pause and clarify data protection, security and law separately – rather than quietly extending the engagement.

  • No patient data accessible to us

We do not request, receive, process or store patient records, diagnoses, treatment histories, case details or appointment notes.

  • No access to clinical systems

We do not need access to practice management systems, patient record systems or laboratory information systems.

  • Enquiries go directly to you

Wherever practicable, forms on your website route enquiries directly to your organisation. We do not become the recipient or the archive of patient messages without reason.

  • Forms warn actively

Contact forms state visibly that no diagnoses, treatment details or other health information should be sent.

  • Measurement stays data-minimising

Analysis works with aggregated, data-minimising metrics. Patient or health context does not belong in analytics or advertising platforms.

  • If something does arrive anyway

If health information reaches us despite the warning, we do not use it for marketing or analysis. We restrict access, delete it promptly under a documented procedure and give notice where that is necessary.

Process

From the first analysis to ongoing improvement.

Five steps, in this order. Each step ends with something concrete in your hands.

  1. Step 1

    Introductory call

    30 minutes

We clarify goals, target audience, capacity and starting position – and where the greatest effect is to be had.

Outcome: an honest assessment of whether and where it is worth doing.

  2. Step 2

    Digital Growth Diagnostic

    Paid analysis

An evidence-based review of the website, search presence, discoverability, messaging and enquiry flow – including the points where enquiries are lost today.

Outcome: findings with priorities, not a list of opinions.

  3. Step 3

    90-day plan

    Prioritisation

The measures with the greatest effect first, with clear responsibility for each point and with the metrics we use to measure progress.

Outcome: a plan your team can follow without having to carry it.

  4. Step 4

    Implementation

    Ongoing

Focused changes, not an endless project. Professional and clinical content goes to you for approval before publication.

Outcome: visible improvements, approved by you.

  5. Step 5

    Learning and improving

    Monthly

We interpret the figures, name the next steps and test in a targeted way. What does not work is stopped rather than carried forward.

Outcome: a basis for decisions, not a wall of numbers.

Guidance

What suits us?

Three short questions. No information about your organisation, no patient data, no storage – the evaluation runs in your browser.

1. Where does your website stand today?
2. What would you like to achieve in the next few months?
3. How much time can your team contribute?

In brief

Präsenz suits you when the foundation is missing or out of date. Wachstum suits you when the foundation is in place and more of the right enquiries should follow. Nachfrage suits you when paid channels are to be built up as well. If you are unsure, it makes sense to begin the collaboration with the Digital Growth Diagnostic.

This is guidance, not a binding recommendation. What actually makes sense is something we clarify in the introductory call.

Paid media budgets, on-site shoots and exceptional infrastructure are always a deliberate decision by you – never a hidden requirement.

Measurement

Reports in business language, not in marketing jargon.

A report is only worth something if it makes a decision possible. We answer four questions.

  • Do the right people and professional partners find your organisation?

Visibility where your target audience actually searches – locally and by service.

  • Are the right services understood?

Whether the areas of focus you want to keep busy are getting through – or whether attention is falling on the wrong things.

  • Are calls, forms, appointment requests and referrals improving?

Qualified enquiries, not clicks. A contact only counts once it is usable for you.

  • Does demand match your actual capacity?

Receiving more enquiries than you can treat is not a success. Demand must match the appointment book.

What we do not sell as success

Impressions, rankings and clicks are intermediate measures. They are not patients, not referrals and not revenue – and we do not present them as such.

Responsibility

Growth must not put trust at risk.

In healthcare, marketing is not neutral. These principles apply in every engagement – including where a measure would achieve more in the short term.

  • Claims must be capable of being substantiated

Useful, factual and capable of being substantiated. No misleading claims of superiority, no exaggerated expectations of treatment outcomes.

  • Professional responsibility stays with you

The practice, clinic or laboratory is responsible for clinical statements and for approving them. We implement what has been approved professionally.

  • Patient confidentiality and personality rights

Confidentiality and personality rights are to be protected at all times – including where a story would work well.

  • No patient data or health data in our service

Our service model is deliberately built so that it does not receive, need, process or store such data.

  • Health context does not belong in advertising platforms

Patient and health context stays out of analytics and advertising systems – even where a platform makes it technically possible.

  • References only with evidence

Testimonials, patient images and before-and-after material require documented, specific consent and a separate professional and legal review.

  • Photography and filming require releases

Content featuring your staff, patients, minors, treatment situations or your premises is published only once the necessary consents and releases are in place.

  • No exploitation of vulnerability

We do not infer health conditions, we do not exploit distress and we do not direct treatment advertising at minors – not even because a platform technically allows that audience selection.

  • Marketing does not replace professional judgement

Communication should support an informed decision. Professional judgement remains untouched by it.

These notes are practical working principles and not legal advice.

About

A focused partner with modern implementation.

KlarGefunden is owner-led. You have one person responsible and one point of contact – not a chain of responsibilities.

One person responsible, and one point of contact
The same person has the conversation with you, plans the measures and answers when something does not work.
Goals first, channels second
Every collaboration starts with business goals, target audience and capacity. Only then do we decide on channels and measures.
We can take care of the technology
Website, hosting, updates and technical operation can all be brought together with us. You do not need an IT person of your own for that.
One approach across healthcare
Practices, clinics, therapy practices and laboratories work from the same foundations – what differs is the audience, the channels and the tone.

Frequently asked questions

What practices, clinics and laboratories ask us beforehand.

Short answers to the questions that come up in the introductory call anyway.

  • What kinds of organisation do you work with?

Independent healthcare providers: general and specialist medical practices, dental practices and clinics, physiotherapy and therapy practices, outpatient centres, and medical and dental laboratories.

The foundations are the same everywhere. What differs is the audience, the channels and the tone – a laboratory addresses referring practices, a practice addresses its patients.

  • What is included in the monthly price?

The scope of services for each package is set out in the price overview and in the comparison table. It covers strategy, implementation, ongoing optimisation and the agreed technical support.

Advertising budgets, extensive website rebuilds, on-site shoots and an unusual volume of production are not included. Points like these are quoted separately and approved in advance.

  • Is the advertising budget included?

No. The advertising and media budget is agreed separately and goes directly to the platform concerned. What the package includes is the management of the campaigns, not the budget itself.

There is a reason for this: you can see at all times what implementation costs and what reach costs.

  • How quickly are the first improvements visible?

That depends on your starting position: on the current state of the website and the directory listings, on the competition in your region, on how quickly approvals come through, and on the channel.

In our experience, technical corrections and improvements to profiles and listings take effect sooner than building up content for search. In the introductory call we give a realistic expectation for your situation – but no promised date for a result that we cannot control.

  • Do you guarantee Google rankings or new patients?

No. Anyone who commits to that is promising something that lies outside their own control. Placements on Google, mentions in answer services and reach on social platforms are determined by third parties.

What we do commit to: an evidence-based analysis, prioritised measures, careful implementation, honest measurement and a clear statement when something is not working.

  • Can you support us on Instagram, Facebook, TikTok or Snapchat as well?

Yes – strategy, profile setup or optimisation, editorial planning and production of the content.

We do not, however, recommend every channel to every organisation. Which channels make sense depends on the target audience, the service and the capacity of your team. One well-run channel is worth considerably more than four neglected ones.

  • How do you help us to be found through ChatGPT and new search habits as well?

Answer and recommendation services such as ChatGPT draw on publicly available information. We make sure that the information about your organisation is clear, current, structured and consistent: services, areas of focus, catchment area, target audience, processes and how to get in touch.

No one can buy, control or guarantee a mention, a recommendation or a placement in ChatGPT, on Google or on a social platform. We improve the foundation, not the judgement of third parties.

  • Do we need an IT person of our own?

No. We can take on the website, hosting, domain and DNS coordination, SSL, backups, security updates, monitoring and the ongoing technical tasks.

Your team does not have to look after servers or install updates. What is needed from your side is professional approval and access to the accounts that belong to you.

  • Do you take on website hosting and technical support?

Yes. The packages include technical support within the defined scope, provided the website is operated through us. Alternatively, it can be commissioned separately.

The scope – availability, backups, updates, response times and what is expressly not included – is set down in writing before we start.

  • Do you process or store patient data?

No. For our services we do not request, receive, process or store patient records, diagnoses, treatment histories, case details or appointment notes. We do not need access to practice management systems, patient record systems or laboratory information systems.

What we do process: the business contact details that you send us yourself when you contact us. This is described in the Privacy Policy.

If health information reaches us despite the warning, we do not use it for marketing or analysis, we restrict access to it and we delete it promptly.

  • Are there additional costs for images, fonts or licences?

Not in the regular implementation. As standard we work with original design work, your own material, code-based visual elements, system fonts or legally cleared free content.

Paid fonts, purchased images, premium themes, paid extensions or third-party brand elements are not a prerequisite. If you expressly want something of that kind, we state the costs in advance and obtain your approval.

  • Do you offer photo and video shoots?

Yes, as an expressly commissioned additional service: planning, shot list, on-site shoots, short video formats, editing and crops.

The scope and the costs are quoted and approved in advance. Before publication, the necessary consents and releases for premises, your staff, patients and models must be in place. A standard package works without a shoot as well.

  • Who owns the website, the content and the advertising accounts?

Accounts such as the Google Business Profile, advertising accounts and social media profiles are held in the name of your organisation and stay under your control. We work with access, not with ownership.

For the approved, client-specific content and materials, the terms of use are set down in the contract. Details are set out in the General Terms and Conditions and in the relevant quotation.

  • What does our practice or laboratory team have to contribute?

Considerably less than many expect – but not nothing. What is needed is professional and clinical approval, access to your organisation’s accounts and one point of contact for brief queries.

In our experience, a small amount of time each month is enough once the process has settled in. Everything else rests with us.

  • How does working together begin?

With a 30-minute introductory call: goals, target audience, capacity and starting position – and where the first step will do the most.

This is usually followed by the Digital Growth Diagnostic as a paid baseline assessment, then the 90-day plan that comes out of it, and only then implementation.
